Policies & Procedures

 

Below are the terms and conditions that apply to any vacation rental you book through Feels Like Home Vacation Rentals, LLC, referenced hereafter as FLHVR, LLC.   By booking with us, you hereby agree to and are bound by the following terms and conditions.  If you have any questions regarding any of our terms or conditions, please contact us BEFORE you book your vacation rental.  Our terms and conditions include all of the following:

 

1) Complete Guest Reservation Form & Make a Reservation:

 

Select the premises you want to rent.  Check the availability calendar next to each of our listings.  While we strive to regularly update our availability calendars, we highly recommend that you e-mail us at: reservations@feelslikehomevacationrentals.com  to confirm the availability of your desired rental.

 

NOTE:  We do not hold any booking without a Guest Reservation Form.  If we confirm availability for a unit but you do not complete and immediately forward to us a Guest Reservation Form, the rental premises is still available to any other guest who does submit a Guest Reservation Form for that same rental period. We process all applications on a first-come, first-served basis. 

 

Once we receive your Guest Reservation Form, we will place a hold on your unit subject to verification of the information you provided.  Once we approve your reservation request (generally within 24 to 48 hours after receipt), we will notify you by e-mail and you will have 5 days to provide 50% of the rental payment due by credit card payment. We accept VISA, MasterCard and Discover. If the payment is not received within that 5-day timeframe, your reservation hold will be cancelled and the rental premises will be available to any other guest for that rental period.

 

For your peace of mind and the security of the information you are providing, all credit card information is stored on our secured server and is encrypted during the transfer to our database. Personal information you provide is NEVER shared with any outside vendor or third party. We hate spam, and we know you do, too.

 

2) Reservation Changes:

 

If you need to make a change in your reservation such as the number of permitted guests, different rental period, or any other changes, please contact us immediately at reservations@feelslikehomevacationrentals.com.  All changes are subject to our policies and unit availability.  Extensive changes, as determined solely by us, may be subject to an administrative fee of $30.00. If you must cancel your reservation due to the changes necessary to your approved reservation, please see the Cancellations section below.

 

Changes to a Guest Reservation Form will be permitted and recognized as valid only when requested by the person who made the reservation and completed the form.

 

All changes must be made in writing (e-mail is acceptable) and must be acknowledged in writing as received and accepted by us to be recognized as valid and in force.

 

3) Cancellations:

 

If you must cancel your reservation:

 

a) 30 or fewer days prior to the start of your rental term:

If you must cancel your reservation, and the cancellation occurs 30 or fewer days prior to your rental period, we will make every effort to re-book your rental premises for that period.  Your cancellation notice must be in writing (e-mail is acceptable) and acknowledged by us. If we are unable to re-book the unit for your rental period, there will be no refund whatsoever of any rental payments already made, and you agree that no further actions or claims will be taken against either FLHVR, LLC, or the owner of the rental premises. 

 

If you cancel your reservation (written notice must be received and acknowledged by us) within 30 or fewer days prior to your rental period, and we are able to re-rent it for your rental period, there will be a cancellation charge of 25% of the prepaid rental payment for your rental period. The remaining 75% of your prepaid rental will be refunded. In all cases above, you agree that no further actions or claims will be taken against either FLHVR, LLC, or the owner of the rental premises.

 

b) 31 or more days prior to the start of your rental term:

If you must cancel your reservation, and the cancellation occurs 31 or more days prior to your rental period, we will make every effort to re-book your rental premises for that period.  Your cancellation notice must be in writing (e-mail is acceptable) and acknowledged by us. If we are unable to re-book the unit for your rental period, we will refund 50 percent of any rental payments already made, and you agree that no further actions or claims will be taken against either FLHVR, LLC, or the owner of the rental premises. 

 

If you cancel your reservation (written notice must be received and acknowledged by us) within 31 or more days prior to your rental period, and we are able to re-rent it for your rental period, there will be a cancellation charge of 10% of the prepaid rental payment for your rental period. The remaining 90% of your prepaid rental will be refunded. In all cases above, you agree that no further actions or claims will be taken against either FLHVR, LLC, or the owner of the rental premises.

 

If, due to unforeseen circumstances, FLHVR, LLC, must cancel your vacation rental, we will do whatever we can to find a unit of similar or greater value for your rental period.  If we are unable to locate such a unit (and you will make the final determination in this instance), your entire deposit and any rental funds already paid will be returned in full to you.

 

We highly suggest that you obtain travel insurance for your vacation, and be sure that it covers "No Show" and "Cancellation" costs. 

  

4) Rental Payment:

 

The balance of your rental payment is due in full not less than 45 days prior to the beginning of your rental period.  If your reservation is made less than 60 days prior to your reservation period, the entire rental amount due must be paid within 5 days of application approval.

 

FLHVR, LLC, accepts credit card rental payments by VISA, MasterCard and Discover. Upon receipt of your payment, FLHVR, LLC, will send you a confirmation e-mail.

 

Note: If you are looking to reserve a rental unit and it is less than 30 days prior to the rental period, please contact us at reservations@feelslikehomevacationrentals.com or call our Customer Care line at 888-689-6888 so that we may best determine how we can accommodate you.

 

5) Security Deposit:

 

Every rental unit reservation is assessed a $35.00 non-refundable incidental damage fee.  We understand that accidents happen -- a china cup may dropped or a knife lost.  This fee is charged to cover all "normal wear and tear" damage that may occur during your stay. 

 

Excessive damage to your rental unit or any item(s) in the unit or on the premises is NOT covered by this "wear and tear" fee. In such case, you will be solely responsible for, at a minimum, the repair of the unit and/or item(s) up to and including, if necessary, the replacement cost of any significantly damaged or broken item(s).  FLHVR, LLC, in its sole discretion, shall determine if excessive damage to the unit and/or item(s) within the unit or on the premises has occurred.  You are welcome to be present at the time of your check-out inspection.

 

6) Check-In/Check-Out:

 

Check-in is 3 p.m. to 6 p.m. on the first day of your rental period.  However, we will make every effort to accommodate all arrival times.  The keys will be available at our office, or arrangements can be made to meet you at the rental premises. Please be aware that if your rental premises was rented just prior to your arrival, it is likely the unit may not be ready much before 3 p.m. In some instances, during peak rental season, some units may not be ready by 3 p.m. In such rare instances, we will make every effort to have your unit available as quickly as possible.

 

Check-out is 11 a.m. on the final day of your rental period.  If we are unable to meet you at the time you want to depart, please complete, sign and date your Check-Out Report and leave the original report form inside your unit in an obvious location.  Please take the tear-off copy for your records.  As you exit, lock the front door, then put the rental premises entry keys in the lockbox on the front door.  Be sure the front door is locked and the lockbox is securely closed with the keys inside before you depart.

 

Should you need a taxi or shuttle service to pick you up at the airport or to take you back to the airport at the end of your rental period, we will be happy to arrange that for you.  Please note that information on your Guest Reservation Form.

 

It is critical you vacate your rental premises by no later than the 11 a.m. check-out time. We must send cleaners through the unit and complete any minor repairs to ensure the unit is ready for our next Guest. We want to be able to provide our incoming Guests with the same on-time availability as we were able to provide to you. If you stay past the 11 a.m. check-out time, you agree to be assessed a $100.00 HOURLY penalty fee until you vacate – unless this fee is waived by us in writing. This fee will be charged to the credit card we have on file for you. Please help us ensure that the Guests following you also have an enjoyable experience.

  

7) Grocery Shopping:

 

If you would like us to shop for groceries for you prior to your arrival, we will be happy to do so. To order groceries, see our Food on Arrival List, that is part of the reservation process. We will shop for your items prior to your arrival; perishable items will be found in your refrigerator or freezer, and non-perishable items will be placed on the kitchen countertop. The total cost of the grocery items purchased and an additional charge of $30.00 for the shopping time and delivery will be charged to the credit card we have on file for you.

 

8) Cleaning:

 

Your rental premises will be thoroughly cleaned prior to your arrival, and it will be cleaned immediately after you leave.  You are responsible for leaving your rental premises in a "broom clean" condition. Vacuum all floors. Trash should be bagged and set by the front door. All dishware and silverware should be rinsed off and placed in the dishwasher. Please remember this is someone's home.  Please leave the home in a condition that you would like to find it if it were your home -- that means tidy and undamaged.  FLHVR, LLC, shall be entitled to make any additional cleaning charges if the rental premises is not left in a clean condition.   

 

Each rental premises has a $65.00 one-time cleaning fee that will be charged to your rental cost.  This fee is for laundering linens and towels, cleaning dishes and a complete cleaning of the entire unit. 

 

Your rental premises will not be cleaned during your stay.  However maid service can be arranged.  The cost is $75.00 an hour, with a one-hour minimum charge, plus $30 in travel expenses per cleaning.  Maid service charges will be charged to the credit card we have on file for you.  Please notify customercare@feelslikehomevacationrentals.com if you wish to schedule a cleaning of your rental premises during your stay.

 

9) Permitted Guests:

 

Only those individuals identified on the original booking shall be entitled to stay overnight in the rental premises during the rental period.  Individuals staying on the premises who are not listed on the original Guest Reservation Form will result in the immediate termination of your rental reservation.  In such case, you will be required to vacate immediately.  In addition, you agree that you will have no recourse to request or obtain any refund or compensation whatsoever for funds already paid.

 

Prior to your arrival, if you wish to discuss making a change to the permitted guests on your original reservation application, please contact us at the earliest possible opportunity.  Where permissible (each rental premises has occupancy limits), we will work with you to make whatever changes are possible.  Changes to permitted guests will not be permitted within 2 days of the rental period, as laundry and linen schedules have been set.

 

Pets are allowed ONLY if the rental premises you are renting is a "Pet Friendly" unit.  No exceptions will be made if it is not a "Pet Friendly" unit.  Owners who offer their unit as "Pet Friendly" have made this concession as a courtesy to you.  Owners who do not offer "Pet Friendly" accommodations have requested that we not permit pets on or in their rental premises.  Having a pet in a unit that is not "Pet Friendly" will result in the immediate cancellation of your rental privileges and the forfeiture of any prepaid rent. Pets are defined as household dogs or cats. No more than 2 total pets will be allowed in any “Pet Friendly” rental premises.

 

10) Rental Premises Substitutions:

 

In very rare circumstances, the rental premises you have rented may not be available on the day your rental period begins.  In that unlikely event, we will make every effort to substitute a rental premises of equal or greater value within the same general geographic area.  If that is not possible, we will refund 100 percent of your prepaid rental payment.  You agree that neither FLHVR, LLC, nor the owner of the rental premises you rented will be liable for any other payments or compensation claims from you. 

 

11) Telephone Calls: 

 

Please be aware that only local calls are permissible on the telephones within your rental premises. Our owners have placed blocks on all long distance calls. We highly recommend you bring your personal mobile phone along with you.

 

12) Behavior:

 

You, as our Guest, have an obligation to act in a manner that is both respectful to the owner of the rental premises where you are staying as well as to those individuals living next door or nearby.  Should it be necessary to ask one or more of your party (or the entire party) to vacate due to noise complaints, illegal activities or the infringement on the rights of others, you agree to accommodate this request immediately.  In such case, you shall have no right to claim any refund or compensation whatsoever of any funds already paid.

 

Accidents happen!  We understand that.  If an accident does occur that results in injury or property damage, please notify us immediately at our toll-free Customer Care telephone number, 888-689-6888.  If the damage occurs to your rental premises, you agree to indemnify us against any claim or action, including costs, made against FLHVR, LLC.

 

13) No Smoking:

  

All rental units and attached garages are non-smoking. Smoking, at some locations, is acceptable outside the home. In such cases, we would require that all smoking materials – cigarette packages, butts, etc. – be picked up and, upon verification that they are no longer burning, thrown away. If smoking is a requirement for your vacation stay, please contact us BEFORE you complete a Guest Reservation Form so we can help guide you to those units where some limited areas of smoking would be permissible.

 

14) Use of the Rental Premises:

  

The rental premises are to be used exclusively for residential use. No retail, commercial or illegal use of the premises shall be tolerated. The premises are not to be used for meetings, receptions or for parties in excess of 10 people over the number listed on your confirmed Guest Reservation Form. Parties shall be concluded by no later than 10 p.m. on Mondays, Tuesdays, Wednesdays, Thursdays and Sundays and no later than midnight on Friday or Saturday nights. Overnight guests are restricted to those identified on your confirmed Guest Reservation Form. Violation of this policy may result in the immediate termination of the guest’s occupancy of the rental premises with no refund of any prepaid rental payments.

 

15) Keys to the Premises:

  

Our office holds a spare set of keys to your rental premises. 

 

If you lose the keys to your rental premises we will determine if the best course of action is to re-key the locks to the premises.  In that situation, at our sole determination, the cost to re-key the locks and make three new sets of keys shall be charged to the credit card we have on file for you.  The administrative charge you will be assessed to re-key the rental unit and make new key copies will be $200.00.

 

If you accidentally lock yourself out of your rental premises, please contact us immediately at our toll-free Customer Care telephone number, 888-689-6888. There will be a $75.00 administrative charge billed to the credit card on file to come and unlock your door between 9 a.m. – 5 p.m. weekdays. After 5 p.m. on weekdays and during weekends, the administrative charge for a lock-out service call is $125.00.

 

16) Limitation of Liability:

 

Neither FLHVR, LLC, nor the owner of the rental premises you are renting shall be responsible for any direct or indirect damages that occur to the rental premises as a result of your use of the unit including, but not limited to, theft, fire, criminal activity or any and all unforeseen damages, including all acts of God.  It is understood and agreed that FLHVR, LLC, is acting solely as an agent for the owner of the rental premises and makes no warranties or representations, express or otherwise, as to the condition of the premises. 

 

Since FLHVR, LLC, acts solely as an information resource provider and as a booking agent for the owner of the rental premises, we cannot accept any liability for the illness, injury or death of anyone identified on the Guest Reservation Form, unless such illness, injury or death can be shown to be due entirely to the negligence of FLHVR, LLC, and/or its employees.

  

17) Feels Like Home Vacation Rentals, LLC (FLHVR, LLC) Website:

 

FLHVR, LLC, reserves the right to make changes to and update our website at any time.  Commitments to you are only those that have been agreed to and signed off in writing by both you and us.  Terms, conditions and costs for any rental premises may change at any time, and outdated information from the website will not be valid or honored.

 

We will always make every effort to ensure that the information on our website is accurate.  However, we are human beings in an imperfect world, and mistakes can occur.  Neither FLHVR, LLC, nor any of our rental owners will be held liable for any errors or omissions that may be found on our website.  Your obligation is to verify all the pertinent information regarding your vacation rental BEFORE you reserve your rental premises. 

 

18) Privacy Policy: 

 

FLHVR, LLC, and our rental unit Owners take the privacy of each of our Guests very seriously. At no time will any information you provide us be sold or given to any outside vendor. We wouldn't like it if it happened to us, and we know you wouldn't like it either!

 

Information that we may need to collect to authorize and confirm your booking includes: your  name, your address, your telephone number, your e-mail address, your credit card details and the names of those who will be using the vacation rental with you. 

 

By disclosing this personal information to us through our website, by e-mail, by fax or by written correspondence, you consent to the collection and storage by us of your personal information to be used only for obtaining the information we need to confirm your reservation. If you would like more information on our Privacy Policy, please click on the e-mail address below and send us a note at customercare@feelslikehomevacationrentals.com to share your questions or concerns with our Customer Care staff.

 

19) Severability of Our Policies:

 

In the event that any provision of our Policies & Procedures or any provisions in any other form from FLHVR, LLC, is found to be invalid or unenforceable pursuant to judicial decree or decision, the remainder will remain valid and enforceable according to its terms.
